Privacy Policy

Equinox  believes that the protection of personal information is of paramount importance. It is for this reason that we have put in place this  policy with the objective of protecting your integrity and your right to disclose or not disclose your personal information.

Our privacy practices comply with the following laws

  • The Personal Information Protection and Electronic Documents Act (PIPEDA – federal law)
  • The Act respecting the protection of personal information in the private sector (Bill 25 – provincial legislation)

Personal Information Covered

Personal information is information about a natural person that can be used to identify that individual.

Equinox imposes strict security measures and the protection of privacy and personal information. Please be assured that no such information will be collected without your consent.

In the course of its activities, Equinox may collect and process various types of personal information, such as, but not limited to:

    

  • Business and/or personal contact information, such as a first name, last name, address, email address dates of birth and telephone number;
  • Biographical information such as a job title, name of an employer, professional and/or personal history, photos, and video or audio content;
  • Marketing and communication preference information, as well as related information such as comments and survey responses;
  • Billing and financial information, such as a billing address, bank account information, or payment information;
  • Service-related information, such as details of services rendered to you;
  • Information about your professional background, networks, social involvement, professional affiliations, etc.;
  • Recruitment information, such as a resume, education and employment history, details of professional affiliations, and other information relevant to potential recruitment to Equinox;
  • Website usage and other technical information, such as details about visits to our website, your interaction with our advertising and online content, or information collected through cookies and other tracking technologies;
  • Any other personal information provided. Please note that if you provide us with personal information about other individuals (such as your clients, directors, officers, shareholders or beneficial owners), you must ensure that you have given them due notice that you are providing the information and that you have obtained their consent to such disclosure;
  • If applicable, evidence of consent given to us (date, time, means), in circumstances where such consent is required for the processing of personal information;

Collection of information from people 14 years of age and under

We do not collect or use personal information from anyone under the age of 14. If you are under the age of 14, you should not provide us with your personal information without the consent of your parent or guardian. If you are a parent or guardian and you become aware that your child has provided us with personal information without consent, please contact us.

Collection and Use of Personal Information

We are committed to collecting only the personal information of our employees, suppliers, customers and other collaborators that is necessary to perform our business activities. Here are the details: First and last name, telephone, street address and email.

  • in connection with any pending or potential legal proceedings involving Equinox;
  • in establishing, exercising or defending our legal rights (including when providing information to third parties for fraud prevention and credit risk reduction purposes), to the extent permitted by law.

In addition, Equinox will never rent or sell your personal information to any third party without your consent.

Equinox takes reasonable steps to ensure that the personal information collected is accurate and complete. We update our client records based on information provided to us directly or indirectly by clients or partners. To ensure that our records are as complete and accurate as possible, you must inform the company of any relevant changes to your personal information, such as a change in name, address or contact information.

Other information essential to job retention (employees) as well as business operations (suppliers and customers).

Where we store and how we transfer data outside Québec

Equinox uses customer relationship management information technology to manage, maintain and maintain all relationships and interactions with its current and potential customers, suppliers, contractors and partners. Web Beacons in HTML Emails and Webinars

Marketing emails contain a unique campaign-specific "web beacon" that notifies Equinox when its emails are opened and, in combination with other technology, checks for clicks on links in the email. Equinox may use this information for a variety of purposes, including determining which of its emails are of most interest to you and asking users who do not open its emails if they wish to continue receiving them. The pixel will be deleted when you delete the email. If you do not want the pixel to be downloaded to your device, you should choose not to click on the links sent. Records retention and destruction Policy

The purpose of this policy is to provide procedures for closing, retention, and destruction of client records maintained by Equinox.

Retention of Closed Files

Closed, undestroyed records are stored in a physically locked location to maintain the confidentiality of individuals and to protect them from damage or loss. They can also be stored on a computer medium.

Please note that, in some cases, Equinox may retain some of your personal information for a reasonable period of time for legal, administrative or compliance purposes.

Complaint handling Policy

The purpose of this policy is to ensure that complaints are handled in an adequate, consistent and timely manner. It is intended for any person who is dissatisfied with the handling of his or her personal information.

Purpose of the Policy

The purpose of the Complaints Policy is to establish a fair and transparent procedure for dealing with complaints received by Equinox. It also aims to support the quality of services and offer the opportunity to anyone to express their dissatisfaction.

This document provides a framework for the receipt of complaints, the transmission of acknowledgements of receipt, the creation of the complaint file and the compilation of complaints received, with a view to listening to customers and continuous improvement.

Responsible

The person responsible for the application of the policy is Mr. Bryan Moloughney, Chief Privacy Officer. He acts as a guarantor and ensures that staff are adequately trained in this regard. The person in charge must also provide employees with all information necessary to comply with this policy.
